Creating a transmittal or submittal document type

A transmittal or submittal document type is a special document type that is used by the Meridian Transmittal Management Module for transmittals or submittals, respectively. A vault can have multiple transmittal or submittal document types for different processes. By default, each transmittal document type contains three predefined transmittal templates that each store documents in Meridian Enterprise briefcases. These templates use the BlueCielo briefcase (.BRC), .ZIP, and .RAR archive file formats. Configuring the document type is almost identical to configuring any other document type in Meridian Enterprise.

To create a transmittal or submittal document type:

  1. In Configurator, create a new document type as usual, but do not save it until you have completed this procedure. For more information on creating a document type, see the BlueCielo Meridian Enterprise Configuration Guide.
  2. Configure the options on each property page of the new document type using the recommendations in the following table.

General
  • Type a descriptive and intuitive name in Display Name, for example, Customer Review Transmittal.
  • For information on calculating file names and selecting a workflow type, see the BlueCielo Meridian Enterprise Configuration Guide.
  • You may select either of the Document type workflow options to meet your requirements.
  • Select either Transmittal or Submittal for Type accordingly.

Note    You must select either Transmittal or Submittal. If the Type option is set to General (default), the document type cannot be used as a transmittal and cannot be changed later. If the type is accidentally set to General, you must delete and re-create the document type with the correct Type setting.

Revision Number

We recommend either Linear or None for Revision Number and the default for all other options.

Workflow

If you selected the Use built-in workflow option on the General page, select options on this page to configure the workflow to meet your requirements. If you selected the Use workflow definitions option on the General page, either create and assign a new workflow definition, or assign an existing workflow definition to this document type when you are finished configuring it. New Document

Three transmittal templates are automatically assigned to every new transmittal or submittal document type. Additional templates are typically not necessary. Remove any templates that you do not want users to select. For information on creating a custom transmittal template, see Creating a transmittal template.

Import Document

For each template listed on the New Document page, add its file extension to the list on this page. This will make it possible for this document type to be automatically assigned to transmittals or submittals that users import into the vault. If other document types also list these file extensions, the user importing one of these file types will be prompted to select from among the matching document types.

Extensions

We recommend that no custom extensions be applied to transmittal or submittal document types. The functionality in the extension can interfere with the proper operation of the Meridian Transmittal Management Module.

Properties

Transmittal and submittal document types will use the property sets described in About the Meridian Transmittal Management Module properties. The document types can use additional properties as required, but they should not perform the same function as these property sets. Pages

By default, transmittal and submittal document types use built-in property pages. The document types can use additional pages as required, but they should not perform the same function as the built-in property pages. For more information on the function of these property pages, see the BlueCielo Meridian Transmittal Management Module User’s Guide. Select additional pages to show as property pages and wizard pages for transmittals and submittals as required. Commands

We recommend that no custom commands be applied to transmittal or submittal document types. The functionality of the command can interfere with the proper operation of the Meridian Transmittal Management Module.

Title Blocks

Transmittals have no properties that support automatic title block updates.

Accept the default option on this page.

  1. Click OK to save your changes.

Note    When Meridian Transmittal Management Module configuration is complete and successfully tested, clearly communicate the names, configuration, and purposes of the transmittal and submittal document types that you created to the end users so that they can select the correct document types to meet their needs.

Tip    Create a Navigation view to show the status of transmittals and submittals. On the Document Type Filters page of the view’s configuration, select the transmittal and submittal document types that you created. Add levels to the view and associate them with other custom properties that you create to identify and track the status of transmittals.
